Veterinary Equipment Procurement Checklist
A practical checklist for defining requirements, comparing configurations and verifying installation, lifecycle and supplier support before ordering veterinary equipment.

Use this list before collecting quotations. A useful comparison starts with the same written requirement for every supplier; otherwise each quote describes a different configuration.
1. Define the clinical and operational requirement
- Identify the intended species, procedure types, patient-size range and expected daily workload.
- Separate mandatory functions from optional features and future expansion.
- Record who will operate, clean, maintain and authorize use of the equipment.
- Document constraints that a generic product name cannot capture, such as space, mobility or existing accessories.
2. Confirm the delivered configuration
- List the exact model, software version, probes, sensors, handpieces, cables, consumables and quantities.
- Mark every optional item separately instead of accepting “standard configuration” as a complete description.
- Confirm destination voltage, frequency, plug type, gas connection, water, drainage, network and room requirements.
- Resolve conflicts between the brochure, web page and quotation in writing before payment.
3. Compare lifecycle inputs
- List single-use and reusable consumables, expected replacement parts and minimum order quantities.
- Request estimated replenishment lead times rather than assuming accessories remain continuously available.
- Confirm calibration, preventive maintenance and quality-control requirements from the current model manual.
- Compare warranty scope, excluded parts, response channel, remote support and on-site service availability.
4. Plan acceptance and training
- Agree on the inspection, power-on, accessory and functional checks performed at delivery.
- Define what constitutes a failed acceptance test and who pays return or remediation costs.
- Confirm training format, language, audience, materials and whether repeat training is available.
- Retain the final signed configuration, serial numbers, manuals and acceptance record together.
